IT Support Assistant

Job Introduction

The IT Support Assistant:

  • Reports to the IT Support Manager ·       
  • Is a member of the IT Support Team

The IT Support Team is responsible for:

  • Driving and coordinating improvements across the IT Team and monitoring progress against KPIs
  • Coordinating compliance of operational risk, business continuity and information security activities across the IT Team.
  • Financial management of the IT budget, purchasing, invoices, payments and reporting / forecasting against budget.
  • Managing supplier compliance and performance 
  • Internal/external training opportunities for development

Role Responsibility

The IT Support Assistant is responsible for:

Financial Management

  • Assisting with the preparation of the yearly budget
  • Processing invoices and credit card statements
  • Producing reports on spend and preparing forecasts as required
  • Raising purchase orders

 Supplier Management

  • Housekeeping of supplier compliance documents and information
  • Scheduling account review meetings, producing agendas, taking minutes and managing actions
  • Producing reports using supplier portals on print volumes, data usage etc

Training/Development

  • Training, developing and supporting new team members
  • Maintaining team process documentation, ensuring these are up to date and legible
  • Investigate and communicate internal and external training opportunities for the wider IT Team

Asset Management

  • Issue and control of IT stock and consumables
  • Control and monitor the TLT JLT process

 Compliance

  • Adopt and support the IT Strategy
  • Maintain IT information on the Intranet and Collaborate
  • Coordinate reviews of IT policies with policy owners
  • Licence compliance investigation and reporting
  • Information security task management
  • Operational risk task management

Projects

  • Supporting both IT and business projects. On occasion coordinating and leading IT Projects. 
  • Produce/communicate reports relating to projects and outstanding project tasks

The Ideal Candidate

  • Ideally some experience in a similar role
  • Excellent communication skills
  • Excellent attention to detail and good organisational skills
  • Good knowledge of Word, Excel and Outlook
  • Demonstrate high levels of data accuracy and confidentiality
  • Experience of financial management
  • Experience in customer service
