Legal Secretary (Entry Level)- Real Estate

Job Introduction

We are recruiting for a Legal Secretary (Enrty Level) to join our Real Estate team in Manchester.  This is a great opportunity to join a reputable team in a supporting capacity, providing administrative assistance to fee earners. You will be involved in copy and audio typing, filing and general admin duties such as faxing, photocopying, scanning, file opening and expenses claims.

Role Responsibility

As a Legal Secretary (entry level) your day to day remit includes:

  • Working as part of a support team providing administrative assistance to the fee earners in the team.
  • Answering telephone calls/dealing with clients/taking messages. Liaising with clients, solicitors and other third parties on the phone.
  • Assisting with management of emails and documents; for example, saving, printing and filing.
  • Preparing invoices and assisting with collation of bills and reporting to clients.
  • Filing and general admin duties such as photocopying, scanning, file opening, expenses claims, archiving and scheduling of documents.
  • Undertaking conflict checks and new matter opening procedures.
  • Creating and amending documents.  Working with large documents using track changes.
  • Copy and audio typing/digital dictation.
  • Managing diary appointments and making arrangements for meetings to include forward planning of fee earner's diary and making travel arrangements as appropriate.

  • Copy and audio typing/digital dictation (some training will be provided)
  • Excellent communication skills (both oral and written).
  • Attention to detail, good organisational skills and flexibility.
  • Previous office experience is desirable but not necessary, ideally within a medium sized firm or professional services company.
  • Working knowledge of Word, Excel and Outlook is required.
  • A good team player and able to work well as part of a team to support the fee earners.
  • Ability to work under pressure.
  • A pro-active person who likes to use their initiative, willing to take responsibility and able to prioritise work.
