Legal Secretary - Real Estate

Job Introduction

We are currently recruiting for a Legal Secretary to join our Real Estate department in London. This is an excellent opportunity to join one of seven teams within our Real Estate Group who focus on Energy, Financial Services and Public Sector. You will be providing a full range of secretarial support to the fee earners including digital dictation, filing and document amendment/creation.

Role Responsibility

As a Legal Secretary you will deliver the following:

  • Managing diary appointments and arranging both internal and external meetings.
  • Dealing with clients, agents etc by phone, taking messages and general calls.
  • Making travel and accommodation arrangements for fee earners
  • Reconciling Partner expenses
  • Digital dictation (audio typing), including preparing and amending documents.
  • Creating/amending/comparing documents. For example, precedent documents, leases, licenses, contracts, transfers etc.
  • Engrossing and binding documents ready to send out.
  • Attending to SDLT Returns (Stamp Duty Land Tax forms), property searches and office copies, and requesting for documents to be uploaded to the various client extranets.
  • Maintaining client matters: opening new files, arranging conflict checks, archived completed files.
  • Dealing with a range of client specific billing requirements and generating bills on a monthly basis.

The Ideal Candidate

  • Extensive experience in Commercial and Residential Property.
  • Strong IT systems skills are required with working knowledge of Microsoft Word, Excel and PowerPoint.
  • Experience of Outlook for Emails and Diary Management. 
  • Experience of Laserforms and Workshare would be an advantage.
  • Ideally we are looking for previous experience of document management systems although training will be given in Interwoven if it has not been used before.
  • Excellent communication skills with a good telephone manner and client care expertise are essential.
  • Accuracy, attention to detail, sound organisational skills and flexibility are also required along with previous secretarial experience in a legal environment.
  • Candidates should be experienced with copy & audio typing (digital dictation).
