Document Production Specialist

Job Introduction

The Document Lifecycle Services (DLS) team provide document production services to TLT's legal and non-legal teams.

It forms part of TLT's Advanced Delivery Centre, and acts as an service centre for the wider business.

This role work will work closely with wider colleagues in Knowledge Management and Business Development.

The role

Although this a remote role, attendance will be required at a local TLT office for training, team meetings, appraisals and certain project activities.

Role Responsibility

Know-How (Primary focus)

  • Supporting the Firm's central precedent and policy library.
  • Liaising with precedent co-ordinators and policy holders to ensure all documentation is kept on-brand, current, in date and procedures are followed.
  • Supporting and assisting Knowledge Lawyers and other colleagues in the capture of know-how (including training materials).
  • Responding to queries and requests relating to know-how and the wider precedent/policy library.
  • Share-point hub site (Primary Focus)
  • Supporting the day-to-day admin of the new Know-How intranet hub site.
  • Editing existing pages and adding new content.
  • Publishing articles and facilitating discussions.

Business development

  • Working closely with Business Development Team to update and capture bid and sales collateral in PitchPerfect portal.
  • Supporting the review and updating of bid-related documents and materials.
  • Helping to develop a bank of case studies/service delivery examples for use in wider marketing.
Other 
  • Producing management information (MI) & stats on a monthly basis – highlighting know-how usage and activity trends.
  • Updating the Firm's structure charts ensuring all information is up to date and reflects changes within each group.
  • Uploading Firm Insights to external platforms.
  • Ensure all guidance relating to the above responsibilities is up to date and recorded correctly on OneNote.
  • Creating and amending Visio diagrams or process documents; producing and amending, with speed and accuracy, correspondence, attachments and complex documents such as reports, deeds and agreements; creating and amending complex PowerPoint presentations and Excel spreadsheets; transcribing large volumes of dictations quickly and accurately; converting PDFs via conversion software or by copy typing; applying TLT house style to non-TLT or converted PDF documents; editing, merging, redacting and/or securing PDF documentation; cleaning and removing hidden metadata from TLT documents; performing mail merges and assisting with mass mailings; troubleshooting and providing expert technical advice; designing documents using TLT branding guidelines; using and updating the work management system to provide transparency to DLS clients on the progress of their work; ensure documents are produced within the required timescales and flag with your line manager should you foresee any potential delays; poofreading and quality checking all work to ensure it is accurate, consistent, adheres to and meets the firm's standards; staying up to date with current technology and actively learning new software and other tools to maintain an advanced level of knowledge in Microsoft Office and other Firm software; monitoring the DLS Inbox in the absence of DLS Team Leader or Technician.

The Ideal Candidate

  • Previous experience within a professional services environment beneficial, especially in legal setting.
  • Strong communication skills (both oral and written), a good telephone manner and client service ethos are essential.
  • Demonstrated excellent written and oral communication skills with the ability to clearly and accurately convey information.
  • Outstanding organisational skills with the ability to be flexible in managing tasks and workload on a daily basis.
  • Excellent attention to detail.
  • Ability to work using own initiative and as a team member, maintaining a professional positive attitude at all times is essential.
  • Knowledge of the MS Office suite including Word and Outlook, Excel and PowerPoint.
  • Previous experience working with Visio would be beneficial.
  • Experience of using track changes is essential.
  • Passion and interest in knowledge management.
  • Knowledge of version control in a document management system would be beneficial.
  • Training in TLT house style, advance MS Office skills, Visio, Share-point and other required software will be given.
