Office Assistant - Lender Sales

Job Introduction

We are looking for an Office Assistant to have responsibility for the team's administrative requirements and to ensure that work is carried out efficiently and within required timescales. Working as part of one of the four teams in the Banking and Lender Services Group providing legal services in connection with:

  • the volume sale of properties on behalf on lenders, brokers and receivers.
  • the mortgage enforcement process on behalf of lenders
  • the remortgage process on behalf of individuals referred be lenders and brokers
  • the sale or purchase process on behalf of individuals referred be lenders and brokers

Role Responsibility

  • Filing at regular intervals
  • To distribute post and action workflow requirements
  • To support the case handler with administrative tasks and action work as delegated by team supervisor
  • Provide telephone support and deal with client queries in case handlers absence
  • Opening new instructions accurately and within service standards
  • Telephoning agents and preparing relevant papers and documentation for case handlers
  • General photocopying
  • Taking cheques to bank at regular intervals
  • Ensure work issues or problems are reported immediately to team supervisors
  • Prepare outgoing post & DX for collection
  • Collection of post from reception and distribution
  • Hand Delivery of documents to Court Offices
  • File closing
  • Mainataining stationary for team

The Ideal Candidate

·       To complete all allocated tasks within the required timeframe and to the required level of accuracy

·       To demonstrate satisfactory levels of literacy and numeracy

·       To write simple business letters

·       Effective record keeping

·       To have basic knowledge of and be able to use common functions of relevant computer applications with appropriate training

·       Effective telephone communication skills

·       Demonstrate high levels of data accuracy

·       Good attention to detail

·       Demonstrate a conscientious, 'can-do' attitude

·       Be client focussed

·       Be supportive of team members
