Job Introduction

We are recruiting for a Secretary to join our market-leading Restructuring and Insolvency team, located in Bristol but covering team members in both Bristol and London.

Part of the Commercial Services Group, the specialist Restructuring and Insolvency team provides a comprehensive service to a wide-ranging client base which includes banks and other lenders, Government departments, corporate clients and Insolvency Practitioners.

In a recent firm survey, the Restructuring and Insolvency team enjoyed some of the highest feedback in the entire firm from team members in relation to the working environment and the levels of support available.

Role Responsibility

The successful Legal Secretary will be required to deliver the following:

  • To carry out secretarial and administrative tasks supporting the team of Partners and solicitors, many of whom work remotely for much of the week.  You will join a team of two other secretaries based in Manchester and Glasgow who support team members in those offices, and together will provide support to the national Restructuring and Insolvency team
  • Managing diary appointments and arranging both internal and external meetings
  • Dealing with clients, agents etc by phone, taking messages and general calls
  • Assisting with management of inbox emails i.e. redirecting as appropriate during absence, saving and efiling within software package.
  • Creating/amending complex agreements and finance documents, often to a tight timescale and occasionally including manuscript and locally saved comments from a number of fee earners. 
  • Maintaining client matters: opening new files, arranging conflict checks, matter risk assessments, KYC checks and archiving completed files
  • Dealing with a range of client specific billing requirements and generating bills on a monthly basis using Connect
  • Updating and maintaining contact information for clients on Interaction
  • Making travel and accommodation arrangements for fee earners
  • Reconciling Partner expenses
  • Digital dictation (audio typing), manuscript amends
  • Receipting TT/BACS and sending posting slips
  • Physical and electronic filing, general admin duties such as photocopying, scanning and occasional faxing
  • Supporting the wider Group with overflow secretarial tasks required by other locations as appropriate during busy periods or to cover secretarial leave.
  • Attending on site in the Bristol office a minimum of 2-3 days per week.

The Ideal Candidate

  • Previous experience as a legal secretary, some familiarity with the Restructuring and Insolvency sector preferred but not essential but experience of working more generally with commercial. litigation and finance documentation is required.
  • Strong IT systems skills are essential, including strong Word, Excel and PowerPoint skills.
  • Experience of Outlook for Emails and Diary Management.
  • Excellent communication skills with a good, confident, telephone manner and client care expertise are essential.
  • Experience of handling and managing sensitive and confidential information and dealing with such material appropriately.
  • Accuracy, sound organisational skills and attention to detail are required.
  • Ability to be flexible managing tasks and variable workload on a daily basis is also essential.
  • Ability to prioritise work load under pressure.
  • Ability to deal with client due diligence to comply with Anti-Money Laundering regulations.
  • Knowledge of Interwoven, CompareDocs and pdfDocs would all be an advantage.
